How Urbanova Increased Occupier's Satisfaction Across 9 Office Buildings

We have implemented the Sharry workplace experience platform across 9 Class A office buildings owned and operated by Urbanova in Lima, Peru. The client sought to enhance the workplace experience with an innovative tenant engagement platform, including a white-labeled workplace app and a digital employee badge seamlessly integrated with the Brivo access control system.

Urbanova Inmobiliaria S.A.C. is Peru’s leading real estate developer, with a presence in premium and co-working offices, retail, and hotels. Its real estate portfolio consists of 13 office buildings with a total leasable office space of approximately 170,000 sqm. The company was established more than 100 years ago, has about 170 employees, and is headquartered in the city of Lima.

The Challenge: Well-being, Connection, and Productivity

Urbanova tries to boost the evolution and experience in a grade A office space, placing well-being over square footage. That's why they were looking for a smart tenant engagement platform to connect multiple office buildings and their occupiers.

The main goal of the deployed solutions was a better end-user workplace experience and easier access to available amenities, leading to increased productivity. For property and asset managers, the solution should make it smooth to communicate with all tenants and their employees and significantly speed up the facility management and operations.

The Solution: A New Generation of Portfolio Management

The Sharry platform is always deployed as a white-label solution to enable the client to reflect their branding in various assets. Urbanova has chosen the fitting name Spazio (meaning “Space” in English).

Through Spazio by Urbanova tenant engagement app, users have many advanced features available on their smartphones:

  • Mobile access badge: It replaced the traditional plastic employee card with a mobile one integrated directly into the Brivo access control system.
  • Self-managed visitor systems: Users can easily grant access to all guests through the guest pass email with a unique QR code. Once they arrive, they can check themselves in at the front desk kiosk.
  • Booking of meeting rooms and other amenities
  • Special offers and discounts
  • Community events, news & polls
  • A comprehensive directory of nearby businesses, restaurants, and local services

For Urbanova, Sharry launched a new generation of its workplace platform tailored to manage real estate portfolios. This allows managers to target content in the app to all occupiers, specific buildings, or selected tenants only. Or combine the targeting setting in any way.

The delegation of access permissions to individual tenants simplifies operations and replaces time-consuming administrative tasks. The PortalWX by Sharry also provides detailed insights for workplace occupancy and amenities utilization across the whole portfolio helping the client to make data-driven decisions.

The Outcome: Higher Satisfaction, Lower Vacancy Rate

The project had a positive impact on the vacancy rate – a key metric for Urbanova as a real estate company. “We've managed to reduce the vacancy rate to less than 10 percent in comparison to the vacancy of Class A offices in Lima, demonstrating Spazio's effectiveness in offering premium office experiences focused on well-being,” said Melissa Silva, Technical Product Owner at Urbanova.

Surveys conducted by Urbanova through the Qualtrics experience management software show that overall user satisfaction increased from 67 to 77 points on average (according to NPS - Net Promoter Score) after the launch of the Spazio mobile app.

Adoption rate was opted as the main KPI. Prior to Sharry, Urbanova had no direct channel of communication with end-users; all communication had to be mediated through individual tenant representatives. According to the client, the goal was to reach a 50% adoption rate in 6 months. The result? “We have surpassed the 50% goal and are at 65% in terms of adoption,” affirms Melissa Silva. Looking at some specific buildings, the adoption rate is even higher – for example, 70% at Torre del Arte, which was one of the first buildings to be launched.

With the simplicity of a single Brivo mobile credential, all tenants gain unprecedented access to a wide range of amenities in all buildings, revolutionizing their overall experience. Property owners and managers can leverage synergies among different buildings. They don't have to duplicate amenities offered at buildings located just around the corner.

The Future: Street-to-Seat Access Experience

By Q3 2024, 9 of the 13 buildings from Urbanova's commercial real estate portfolio had been connected to the Sharry workplace experience platform. Additional client developments are in the pipeline to be integrated and launched in 2025.

At Sharry, we are still working on the development of our workplace experience platform. The plan is to add new features for Urbanova – such as smart parking management which makes it easier for users to enter their office by automatically recognizing license plates or enabling visitors to book their parking spot online)

Insights and workplace occupancy data collected from the Sharry platform are helping Urbanova understand which types of amenities and content are best received by users. This data can also be a very valuable resource when negotiating lease renewals.

Sharry is in close contact with tenants located in these buildings to launch the mobile access solution also to their offices. Integrating multiple access control systems and mobile credential providers under one overarching platform enables a seamless street-to-seat access experience for all users. They can use one app and one mobile badge to easily unlock the building, tenant space, and all shared amenities.
